4. Using The CryptoMail Service

The CryptoMail Service provides a user friendly interface for you to conduct your Email business efficiently. After you have successfully logged in to the server, the main client window (CryptoMail Client) will show in your browser and look like the following image. The main client window allows you to perform Email functions with the Client Menu, the Folders Browser, the Email Message Browser, and the Management Toolbar.

In this section, we will help you get started sending and reading your Email messages, and we will help you understand the usage of the Folders Browser and Email Message Browser in the main client window

4.1 Composing a Message

You can compose new Email messages in the CryptoMail client which are intended for your colleagues, family, friends, or foes. To make the process of composing new Email messages pleasant and complete, our client allows you to edit, save, attach files, and send your message to a single or multiple recipients.

To compose a new Email message, you click on the "New Message" icon in the main window of the CryptoMail Client or the Email viewing window. Next, the "New Message" window comes up on your screen for you to compose your Email message.

In the "New Message" window, you can perform cut, copy or paste editing functions by using shortcut keys, or you can use the second button of your mouse to use the pop up menu.

  • Cut Crt+X
  • Copy CRT+C
  • Paste CRT+V

Note: Capability to use cut, copy and paste functions are depended on the operating system of your computer.

Save Message Save Message

After you click on the "Save Message" icon to save the new Email message into a target folder, the "Save To Folder" window will pop up for you to choose a folder, or to create a new folder.

When you finish saving the Email message to the target folder by pressing the "OK" button in the "Save To Folder" window, the Email client will close the "New Message" window. In the event that there was an error, such as being over you allotted quota, you will get an error message "Quota Violated" from the server. Being over quota will prevent you from saving any subsequent Email messages into any folder.

Send Message Send Message

You click on the "Send Message" icon in the "New Message" window to send your composed Email message to the targeted recipients. The next section, 4.2 Addressing a Message provides additional information about sending an Email to a single recipient or multiple recipients.

Close Message Close Message

You click on the "Close Message" icon in the "New Message" window to quit composing the Email message.

Select All Select All

You click on the "Select All" icon in the "New Message" window to select all contents in the composition window. The Select All function helps you quickly cut (Ctrl+X), copy (Ctrl+C) or delete all message contents in the composition window.

The "Attachment Window" will be shown on your screen, when you click on the "Edit Attachment" icon in the "New Message" window to add or delete attachments for sending files with the Email message to recipients.

Add Attachment Add Attachment - click on the icon to add a file or files to the attachment.

Delete Attachment Delete Attachment - select an attachment or attachments and then clicks on the icon to delete.

The Attachment feature of the CryptoMail Client allows you to securely distribute files to people, but the process of encrypting an attachment is an intensive computing process. If you intend to attach large amounts of files with your Email, you might expect to wait for some period of time during sending.

4.2 Addressing a Message

Sending a Email message in the CryptoMail Client is a one click process in the "New Message" window, and you are able to send your Email message to a single or multiple addresses within in the same service (cryptomail.org) and over the Internet, to disparate mailboxes. However, an Email message addressed with one or more persons outside the CryptoMail Email System will not be encrypted. If you do attempt to send your Email to people outside the service, the Email client will give you a warning message before sending, and allow you to check the Email address of your recipients.

The CryptoMail Client provides three recipient types for you to choose from.

To:Primary recipients of your Email message.
CC:Carbon copy, for secondary recipients.
BCC:Blind carbon copy, for secondary recipients not identified to the other recipients, including those in the CC list.

To send a message to multiple recipients, you place a space ( ) or a comma (,) character between the Email addresses. For example, if you are sending an Email to myfriend1@cryptomail.org and myfriend2@cryptomail.org, then you should put following in the text box of "To:".

Next, you may want to put a short description of your Email message in the "Subject" text box in the "New Message" window. Although you do not have to have a subject in your Email message, the subject helps your recipients to identify your Email message. It is important to note that the subject of the message is NOT ENCRYPTED, so you should limit / not use any discourse within the subject item.

4.3 Reading a Message

The CryptoMail Client allows you to read any Email message in your mailboxes. Four default folders are inside your main mail box. They are for incoming, outgoing, deleted and draft Email messages. In this section, you will learn to read incoming Email messages and how to operate the "Crypto Mail" Message Viewer window.

Main Folders

All incoming messages are saved in the "inbox" folder (shown on the left side of the CryptoMail Client's main window). You select the "inbox" folder to list incoming Email messages and view information the Email messages like sender name, mail subject and receiving date. An icon next to each Email message shows the status for new and opened Email messages to you.

When you want to view an Email message in your mail box, you select and double click on a Email message line in the list to bring up a Message Viewer window on your screen.

Read Mail

The Message Viewer window allows you to use shortcut keys to perform copy functions.

  • Copy CRT+C

Note: The ability to use the copy function is operating system dependent.

New Message New Message

You click on the "New Message" icon in the Message Viewer window to bring up the "New Message" window for composing a new Email message. You can get detailed information in the previous section, 4.1 Composing a Message.

Move Message Move Message

You click on the "Move Message" icon in the Message Viewer window to move the current Email message to another folder in your mail box. See Section 5 for detailed information about moving Email messages to folders.

Copy Message Copy Message

You click on the "Copy Message" icon in the Message Viewer window to copy the current Email message to another folder in your mail box. See Section 5 for detailed information about copying Email messages to folders.

Reply Reply To Sender

You click on the "Reply To Sender" icon in the Message Viewer window to reply to only the sender of the current Email message. You can get detailed information in the next section 4.4 Replying To a Message.

You click on the "Reply To Sender Include Message" icon in the Message Viewer window to reply to only the sender of the current Email message with the original Email message. You can get detailed information in the next section 4.4 Replying To a Message.

Reply All Reply To All Senders

You click on the "Reply To All" icon in the Message Viewer window to reply to the sender and other recipients of the current Email message. You can get detailed information in the next section 4.4 Replying To a Message.

Forward Message Forward Message

You click on the "Forward Message" icon in the Message Viewer window to bring up the "New Message" window for you to forward the current Email message to recipients of your choice. The original Email message will be placed in the text area of the forward Email, and the original Email subject will be prefixed with "Fwd: ".

Toggle Encryption Toggle Encryption

You click on the "Toggle Encryption" icon in the Message Viewer window to view the headers and the encrypted format of the current Email message. This will show you the native format of the message that is stored at the server.

Show Attachments Show Attachments

You click on the "View Attachment" icon in the Message Viewer window to bring up the "Attachment Window" to view and save attachments to your local computer.

You select one or more attachments in the "Attachment Window", then you click on the "Save Attachments" icon to save the attachment(s) into your local computer.

Select All Select All

You click on the "Select All" icon in the Message Viewer window to select all contents in the current Email message. The Select All function helps you quickly copy (Ctrl+C) all message contents in the current Email message.

4.4 Replying To a Message

The CryptoMail Client allows you to reply to a sender or/and other recipients of an Email message. Replying to an Email message is similar to composing a new Email message with the recipient fields being filled in by the Email client. When you are reading any Email message in your mail box, you can reply to the Email message in three different ways.

  • Reply Reply To Sender - reply only to the sender of a Email message.

  • Reply with Message Reply To Sender Include Message - reply to only the sender of an Email message with the original Email message inside the composition area of the "New Message" window.

  • Reply All Reply To All Recipients - reply to the sender and other recipients of an Email message. You will send a carbon copy (CC:) of your reply to everyone who received the original Email message.

After you click on one of the reply icons, the "New Message" window will pop up on your screen ready for you to compose your Email message. The originator of the message will always be placed in the (To:) field. If you choose to reply to all senders of the original Email message, other recipients who received the Email message will show up in the carbon copy (CC:) field.

Next, to avoid sending your reply to unintended recipients (the most common mistake in replying to an Email), you should check the text boxes of the recipients (To:, CC: and BCC:) to ensure that the Email message is addressed the way you want. When you need to change or add recipients to your reply, you can edit any of the recipient fields.

When you finish composing your reply Email message, you click on the "Send" icon to send your Email to people in the recipient list.

4.5 Finishing Your Email Session

When you finish your session with CryptoMail Service, we recommend that you logout from the service. Although leaving the service without logout does not cause any damage of your mail box nor Email account, the logging out process provides additional security.

You click on the "Logout" icon in the main window of the CryptoMail Client to log out from the service and go to a logout page.
